Website, WhatsApp and CRM: the trio that changes sales for an SME in Cotonou

When an SME in Cotonou tells us “we need a website”, the real request is almost always something else: they want more customers. In nine cases out of ten, the customers are already arriving. They send a message, nobody replies fast enough, and they go elsewhere. One more website does not fix that. What does is a complete chain, and it rests on three pieces.
Piece 1: the website, your commercial identity
The job of a website in Benin is not to sell on its own. It is to answer, in thirty seconds, three questions a stranger is asking: what exactly do you do, are you a real business, and how do I reach you now.
- A clear sentence at the top of the page that says what you do and for whom, with no jargon.
- Visible proof: completed work, real photos, an address, a number that actually rings.
- A WhatsApp button on every page, not only on the contact page.
- Fast loading on a weak 4G connection, because that is how your visitors arrive.
A site that takes eight seconds to appear loses half of its visitors before it has said a word. Performance is not a technical detail. It is revenue.
Piece 2: WhatsApp, your real front desk
In Benin, a prospect does not fill in a form: they write on WhatsApp. That is where the sale happens, and it is often the least organised place in the company — a personal number, messages mixed with family chats, and no record of who said what.
Structuring that channel means four concrete things:
- Separate the business number from the personal number.
- Send an immediate acknowledgement, even at night, so the client knows they have been seen.
- Ask the useful questions in the first exchange: need, quantity, deadline, location. That is what an automatic assistant does very well.
- Route qualified requests to the right person, instead of leaving them to go cold on a phone.
An assistant does not replace your salesperson. It wins response time, which is the one ground on which you can beat a better-established competitor.
Piece 3: the CRM, your company’s memory
The CRM is the piece everyone postpones, and it is the one that creates the most value over time. Without it, your company forgets. The salesperson who leaves takes their contacts with them. The client who asked for a quote in March is never followed up. Nobody knows how many quotes are waiting.
A CRM does not need to be a heavyweight piece of software. For an SME that is just starting, a well-structured database is enough, provided it meets three requirements: it fills itself automatically from the website and WhatsApp, the whole team can access it, and it clearly shows what is waiting for action.
How the three pieces talk to each other
Taken separately, these pieces produce little. Put together, they form a chain in which nothing drops: the prospect finds the site, clicks WhatsApp, the assistant qualifies the request, a record is created automatically in the CRM, the quote goes out, follow-ups fire on their own, and you see it all in a dashboard.
The important point is that every step is measurable. You know how many requests arrive, how many are qualified, how many convert. From there, improving your sales becomes a job of numbers rather than intuition.
In which order to put all of this in place
The order matters more than the tools. We recommend this one, because it produces a visible result from the first step:
- Organise WhatsApp. It is the cheapest, the fastest, and the gain shows within a few days.
- Set up the client database. Even a simple one stops the leak of information.
- Build or take over the website, connecting it from day one to WhatsApp and the database.
- Add the automations: quotes, follow-ups, notifications, then dashboards.
Starting with the website, as people usually do, is like installing a shop window before you have a till. It works, but the money arrives later.
We roll out this sequence for companies in Cotonou and Abomey-Calavi. If you want to know which step to start with in your case, look at our website creation and automation in Cotonou page, or ask for a free diagnostic: we follow the path of a client request through your business and show you where it gets lost.
