WhatsApp chatbot: what it actually does — and what it will not do

WhatsApp chatbots are sold as a salesperson who never sleeps. Reality is more modest and more useful: it is a very good receptionist, and a poor negotiator. Knowing where the line sits avoids two classic failures — the company that automates nothing out of distrust, and the one that automates everything and loses its clients.

What a WhatsApp assistant does well

Acknowledge receipt immediately

This is its most underestimated contribution. A client who writes at ten in the evening and gets a reply within a minute, even an automatic one, knows they have been seen. Silence is what pushes them to write to your competitor.

Ask the qualifying questions

Need, quantity, deadline, location, approximate budget. These are mechanical questions, identical for every client, and yet they take a considerable amount of your team’s time. The assistant asks them without getting tired and without skipping one.

Answer repetitive questions

Opening hours, address, payment methods, delivery times, documents to provide. In most companies, these questions make up the majority of incoming messages.

Sort and route

A supplier, a job applicant and a client ready to buy should not end up in the same conversation. The assistant separates them and sends each one to the right person.

Lose nothing

Every exchange leaves a trace: a record in your database, with the request and the date. That is what lets you follow up three weeks later, which nobody does by hand.

What you should not hand over to it

  • Negotiating a price. A client who is bargaining wants a person on the other side. Letting a bot haggle means losing the sale and the respect.
  • An unhappy client. A complaint must reach a human immediately. An automatic reply on a dispute turns dissatisfaction into a public conflict.
  • Sensitive or regulated files. Health, legal, personal finances: the assistant can collect the request, never give the advice.
  • Ambiguous cases. If the request falls outside the planned scope, the right answer from the assistant is to hand over, not to improvise.
  • Pretending to be human. A client who discovers the trick after ten messages feels deceived.

The six rules that make the difference

  1. Say so from the first message. “I am [your company]’s assistant, I am preparing your request before an adviser takes over.” That is better received than the opposite.
  2. Always offer a way out. “Talk to an adviser” must work at any time, in a single word.
  3. Limit the number of questions. Four questions maximum before handing over. Beyond that, the client drops off.
  4. Write the way your clients speak. Short sentences, no jargon, and the register your clientele actually uses.
  5. Plan for failure. If the assistant fails to understand twice in a row, it transfers to a human instead of looping.
  6. Measure. How many conversations complete on their own, how many are transferred, how many clients drop off mid-way. Without those figures, you cannot improve anything.

What it takes on the technical side

For reliable professional use, you need a WhatsApp Business API account: that is what authorises automated sending and avoids having your number blocked. The assistant then relies on a language model to understand messages, and on an automation platform such as n8n or Make to create records, send quotes and trigger follow-ups.

The point to watch is the recurring cost: WhatsApp conversations and model calls are billed by usage. That is not a blocker, but it must sit in your budget from day one, as we explain in our article on the budget for an AI automation.
